Privacy Policy

The Entire Picture (TEP) helps people find educational resources and local, transgender-friendly organizations. Many people share personal things with us to do that, so this page explains in plain language what we collect, who can see it, and what you can do about it.
Information you give us
- Your email address and display name when you create an account.
- Optional profile details you choose to add, such as pronouns and the journey you are on.
- What you save, bookmark, or mark as a goal in the app.
- Anything you type into a form: feedback, an organization nomination, a story submission, a review, or an organization access request.
- If you donate or buy an organization promotion, your name, email, and the amount. Card details go directly to our payment processor and are never stored by us.
Information collected as you use the app
We keep basic usage records, such as which pages you open and which resources you save, so the app can show your dashboard and so we can tell whether content is useful. We do not use advertising trackers, and we do not build advertising profiles.
Sensitive information
Information about your gender identity, your journey, and the health topics you look at is sensitive, and we treat it that way. It is stored on your account to show you relevant content. It is never sold, never shown to other users, and only TEP staff who need it to run or support the platform can see it.
You can browse without telling us your journey, and you can remove details later.
Who can see what
- You can see everything on your own account.
- TEP administrators and the CEO can see account details to provide support, moderate content, and vet organizations. Their access is limited to their role and is logged.
- Other users see only what you choose to publish: your display name on a review or story, and the content of that review or story. Anonymous submissions stay anonymous.
- Notes TEP staff write about an organization are internal and never shown to users or organizations.
Who we share it with
We do not sell your information. We share it only with the services that make the app work, and only as much as each one needs:
- Our application platform, which hosts the site, the database, sign-in, and outgoing email.
- An encrypted cloud backup provider that stores rotating copies of the database.
- Our payment processor, for donations and organization purchases, including its fraud checks.
- Google or Apple, only if you choose to sign in with one of those accounts.
- Mapping and search services used to place organizations on a map.
We may also disclose information if the law requires it, or to protect someone from serious harm.
Cookies and local storage
We use a session cookie to keep you signed in, and your browser's local storage to remember small preferences such as which tab you were on and how far down a page you had scrolled. We do not set advertising cookies. Clearing your browser data signs you out and resets those preferences without affecting your account.
Your choices
- Change your display name in Account Settings.
- Delete your account yourself in Account Settings. This removes your profile, saves, goals, and submitted content from the app.
- Ask us to correct or export what we hold, or to stop a particular use, through the feedback form.
- Unsubscribe from any TEP email using the link in that email.
How long we keep it
We keep your information while your account is open, and for as long as needed for the purposes above. When you delete your account, your personal records are removed from the live app. Copies may remain in encrypted backups until those backups rotate out. A small number of records may be kept longer where we must, for example moderation and security logs or records of a donation for accounting.
Children
TEP is written for adults and older teenagers and is not directed to children under 13. We do not knowingly collect information from children under 13. If you believe a child has created an account, contact us and we will remove it.
Security
Data moves over encrypted connections and access is restricted by role. No system is perfectly secure, so please use a unique password and keep it to yourself.
Changes to this policy
If this policy changes, we update the date at the top of this page. Significant changes will be announced in the app.
